Part Time (24-32 hours), hourly, no overtime. May lead to full time (40 hours) based on the workload, projects, etc.)
 
We are looking for a talented Project Coordinator I individual to assist the Executive Assistant (EA) in the Ads & Recs team based in San Jose, CA. You will work closely with the EA. You will also support two Senior Directors on the Ads & Recs team.
 
Job Responsibilities:
  • Outlook calendaring management skills, some Google docs experience, Zoom or Teams experience, some Powerpoint, Excel, Word experience, Slack is used regularly as the IM tool.
  • Some Concur expense reporting experience or similar is helpful.
  • Experience in making domestic and international travel reservations are helpful.
  • Vacation coverage for EA as needed for VPs (need to come into the office when the VPs are in the office).
  • Assisting with ordering/coordinating client branded swag for the team. Working closely with external vendors, EA and others on the team.
  • Take the lead for ordering Costco Business Center snacks for the department bi-monthly. Accepting delivery from Mail Services, replenishing the snacks for the team.
  • Assisting the Program Management Office (PMO) team with distributing swag for completed projects for San Jose. Working closely with Ops & PMO.
  • Assisting with onboarding which may include, but are not limited to the following: working closely with the talent acquisition coordinators, People Experience Leads, coordinating schedules for interviews, ordering welcome gifts, client swag, etc., delivering a high level of service to candidates, HR Business Partners, hiring managers, setup introductory meetings with new hire peers, partners, etc.
  • Strong time management, process management and productivity skills needed.
  • Responsible for anticipating, prioritizing and organizing all activities, Expert calendar management and in blending business and personal needs.
  • Understands overall group priorities, people and aligns schedules and meetings appropriately so time is spent on the most important areas. Organize meetings, travel, events and other off-site conferences.
 
Job Requirements
  • This position requires the individual to exercise good judgment and prioritize well.
  • This person should have a high degree of flexibility, operate effectively in a fast-paced environment and have the ability to handle multiple projects at the same time.
  • The person in this position will need to build strong relationships with other departments in order to accomplish tasks and achieve goals.
  • This person will likely work on assignments that are sensitive in nature with high-level contacts inside and outside the company, so the ability to keep confidentiality is of critical importance.
  • Candidates for this position should have excellent customer service orientation, an outgoing personality, and strong verbal and written communication skills.
  • This candidate should also possess 2-3 years of experience as a successful office administrator in a dynamic technology environment. Candidates should have proven competency using MS Office applications: Word, Excel, PowerPoint & Outlook is a must-have skill.
